Overview
The File view and download analytics feature, or file analytics, is a powerful addition that brings visibility into how files are being consumed across your platform. This feature provides actionable insights into file-level engagement at each file level.
Why did we build this?
Traditionally, file engagement was largely invisible, making it hard for content owners to assess the value or relevance of shared documents. We built File view and download analytics to address this gap, giving users the transparency they need to:
-
Identify outdated or unused content
-
Support compliance and audit needs
-
Make data-informed content decisions
Users previously had no visibility into how files were being used, making it hard to measure content effectiveness or ensure critical documents were seen. This led to:
-
Unused or outdated files cluttering libraries
-
No feedback on important file engagement
-
Challenges with compliance tracking
This feature solves those gaps by bringing clear, actionable insights into file views and downloads.
What metrics are tracked?
Users with appropriate permissions can view the file analytics at each file type:
-
Track File Views: See how many times a file has been viewed
-
Track File Downloads: See how many times a file has been downloaded
-
View Analytics Over Time: Understand trends in file engagement with date filters
-
Filter by Audience: See analytics for site members, followers, other audiences
-
Export Reports: Download analytics reports for further analysis or compliance
Supported file types
The file analytics feature supports all natively uploaded, internal file types. It is not applicable to any external files from services like Google Drive, SharePoint, Box, etc. In other words, files connected to your intranet via a 3rd party integration will not have analytics tracked in Simpplr.
Who can see file analytics?
Access to file analytics respects the platform’s role-based access controls.
- Metrics for any intranet files (files uploaded in global feed) can be seen by: App managers, the file author (original uploader), and analytics managers
- Metrics for any file within a site or attached to a content can be seen by: File author (original uploader), site manager, site owner, users with manage sites role, and analytics managers
How can I access file analytics?
File analytics can be accessed:
-
Directly from the file preview screen
-
Within the site files listing screen
File analytics at App level
App managers and Analytics managers can see a complete view of how files are being used across the organization. Instead of checking individual files one by one, there is now a single dashboard that brings everything together. This dashboard shows views, likes, favorites, shares, downloads, and highlights which files are performing well and which are not.
There is a dedicated Files tab in app Analytics. This tab offers a clear snapshot of unique file views, engagement counters, and trends over time with the help of charts. You can also see a breakdown of performance by file type, such as images, videos, documents, and audio, along with average metrics for each type. Lists of the most and least viewed, downloaded, and liked files are available to help you act quickly on popular or underperforming content. For deeper analysis, any widget or table can be exported as a CSV with filters applied. Each file link is clickable, which opens a detailed view of that file’s analytics in a modal.
Supported file types
File analytics supports all internal file types used in Simpplr. It's worth noting that this feature does not apply to external files.
Where to find it
You can access File analytics by going to App Analytics and selecting the File section.
Permissions and access
Access to File analytics follows the platform’s role-based access controls. Only users with permission to view app-level analytics, such as App managers and Analytics managers, will be able to use this feature.
Comments
Hi Matthew, we are on version 25.05 but can't seem to see this feature. Can you let me know if we have to enable it somewhere first? Thanks
Hello,
This is a great feature; however, it would be more helpful if the dashboard also included which sites the files are attached to. Not all of our filenames are descriptive, so it's difficult to tell where their "home" is.
Is this being considered in your roadmap of future enhancements?
Thanks,
Michelle
