Setting-up custom email addresses for your organization

Updated last month

Overview

This feature lets you send system notifications and newsletters from your own company email addresses like news@yourcompany.com instead of a generic Simpplr address. You can manage everything from one simple screen.

Who this is for: App managers and Admins.

What's New

You can now connect multiple company domains like @yourcompany.com and @yoursubsidiary.com to send emails.

You can create multiple sender addresses for each domain like events@ and support@. A simple all in one page lets you add check and manage your domains and sender addresses. Built in safety nets prevent mistakes automatically using a backup sender if something goes wrong.

Why Use This

Control your brand Ensure every email reflects the correct part of your business region or subsidiary.
Flexibility Use different sender addresses for different purposes such as marketing newsletters vs urgent notifications.
Build trust Your recipients will see a familiar legitimate From name so they know the email is real.
Grow with ease Easily add new domains as your company grows or changes.

How It Works Plain Terms

The Three Main Pieces

Domain

Your website address for example yourcompany.com. It needs to be verified to prove you own it. Its status can be Verified good to go Pending check in progress or Failed check did not work.

Sender Address

The specific email inbox you want to send from for example hello@yourcompany.com. It must be linked to a verified domain.

Assignments

You choose one main sender for automatic notifications. For newsletters you can pick a sender each time you create one.

What happens if something goes wrong

The system is designed to keep emails flowing. If your custom domain is not verified yet or fails we automatically switch back to a safe default address like noreply@app.simpplr.com. This ensures no important communication is lost.

What You Can Do

Add all the company domains you need.
View simple instructions on how to prove you own each domain.
Add a notification.yourcompany.com style subdomain for better email delivery optional.
Create friendly sender names like Acme Events events@acme.com.
Edit a sender name or delete it You cannot change the domain an address belongs to after creation.
Pick your default sender for system notifications from a simple list that only shows ready to use addresses.

Step by Step Setup Guide

  1. Start: Go to Manage App Setup Email Domains Add.

  2. Add Your Domain: Type in your company web address for example acme.com. The system will create a unique code string for you.

  3. Prove You Own the Domain: You will see a list of codes. You need to copy and paste these into your domain host control panel like GoDaddy Namecheap etc. If you need help share these codes with your IT person or domain provider.

Note If your domain is hosted in our Route53 we can often do these steps for you automatically.

  4. Verify: Come back to the Simpplr admin page and click the Check status button. This might take a few minutes to a few hours to work globally. Once successful the status changes to Verified.

  5. Add a Sender: Go to Sender addresses Add. Choose your domain and type in the mailbox for example yourname@acme.com and a display name for example Your Name.

  6. Assign a Default Sender: Go to Assign sender address for notifications. A list will appear showing only your ready to use senders. Pick one to be your main notification sender.

  7. Use in Newsletters: When you write a newsletter you will now see a new option to pick any of your verified senders.
