Enhanced Login Capabilities using OTP

Updated 4 months ago

Overview

Login with One-Time Password (OTP) is a secure authentication method that allows you to access your account using a dynamic, single-use code sent to your registered email address or mobile number. Instead of relying on a static password, each login attempt requires a unique OTP that expires after a short duration.

This feature is designed to strengthen account security while simplifying the login experience.

Who is this for?

This feature is available to all users, provided OTP login has been enabled in your organization.

If you do not see the Use OTP option on the login page, contact your administrator.

Why OTP login was introduced

Traditional password-based authentication presents multiple security and usability challenges. Passwords can be weak, reused, forgotten, leaked, or compromised. As cyber threats become more sophisticated, relying solely on static credentials increases organizational risk.

OTP login was introduced to address these risks while improving overall user experience.

How OTP login protects your account

Logging in with a One-Time Password (OTP) improves both security and convenience. Instead of relying on a fixed password, each login requires a unique code that expires quickly and can only be used once.

Here’s how that benefits you.

  • No more weak or forgotten passwords: You don’t need to create or remember complex passwords. Every time you log in, you receive a fresh code. This removes the frustration of forgotten passwords and the need for frequent resets.

  • Protection against phishing attempts: If someone tries to trick you into sharing your login details, they cannot reuse an OTP. Each code works only once and expires quickly. Even if intercepted, it becomes useless after a short time.

  • Defense against automated guessing attacks: Traditional passwords can be guessed through repeated automated attempts. With OTP login, every attempt requires a new, system-generated code. This makes automated guessing practically impossible.

  • Protection from leaked credentials: If passwords from another website are ever exposed in a data breach, they cannot be used to access your account here. OTP login requires a fresh, time-sensitive code for every session.

  • Faster, simpler access: You don’t need to manage password complexity rules or remember multiple credentials. Logging in becomes a quick verification step instead of a password exercise.

  • Fewer login interruptions: Because there are no passwords to reset, you avoid delays caused by account lockouts or recovery flows. This means smoother, more consistent access to your work.

Why this matters for you

Cyber threats continue to evolve, and password-only logins are increasingly vulnerable. OTP login adds an extra layer of protection without adding complexity for you.

At the same time, it aligns with how people work today. Many users access platforms from mobile devices, and receiving a secure code by SMS or email fits naturally into that workflow.

Strong authentication practices also reinforce trust. When your organization uses secure login methods, it demonstrates a clear commitment to protecting user accounts and sensitive information.

Increased Security for Shared Devices

Frontline workers and distributed teams often use shared tablets or desktop systems. OTP login ensures that:

  • No passwords remain stored on shared devices

  • Each session requires fresh authentication

  • Residual login risks are minimized

  • Unauthorized access to company or customer data is reduced

Improved Employee Experience and Focus

By removing the mental burden of managing multiple passwords, users can focus more on their core responsibilities instead of resolving login issues. This contributes to smoother daily operations and improved productivity.

How OTP login works

When this feature is enabled in your environment, the option to log in using OTP appears on the login page.

OTP.webpHow to login using OTP

  1. Navigate to the login page.

  2. Enter your login identifier (for example, your email address).

    OTP1.webp

  3. Select Use OTP as the login method.

    OTP2.webp

  4. Choose where you want to receive the OTP:

    • Registered Email ID

    • Registered Mobile Number

This option appears only if your contact details are saved in your profile.

  5. Select Send OTP.

  6. Enter the OTP you receive.

After successful verification, you are logged in to your account.

Each login attempt requires a new OTP. Codes expire after a short time and cannot be reused.

Updating your mobile number

If OTP login is enabled and you update your mobile number from the Profile page:

  1. Enter the new mobile number.

  2. An OTP is sent to that number.

  3. Enter the OTP to verify ownership of the number.

  4. The update is completed only after successful verification.

Important considerations

  • OTPs are single-use and time-sensitive.

  • A new OTP is required for every login attempt.

  • If you close the login session, you may need to request a new OTP.

  • If you do not receive the OTP, check your spam folder (for email) or confirm mobile network connectivity.
