Updated 2 months ago

The Upgrade Process

Upgrading from Simpplr Classic to Simpplr One is a structured, collaborative process that ensures a smooth transition to your smarter, faster, and more personalized digital workplace.

Watch the Upgrade Process Overview

🚀 Read-Only Mode Now Available 🚀

During your upgrade window, your intranet stays accessible in read-only mode. Your team can view content, documents, and policies throughout the upgrade—they just can't post or edit temporarily.

*not available for shared instance intranets

1. Pre-Upgrade Phase: Getting Started

This initial phase is all about preparation and alignment. You'll work closely with your Simpplr Project Manager and Technical Consultant—alongside your internal team—to complete a series of readiness tasks.

Pre-Upgrade Activities Include:

  • Receive access to the Upgrade Portal

  • Complete upgrade details questions to generate your tailored project plan

  • Sign the Legal Addendum

  • Provide admin access to Simpplr Classic

  • Set up your domain (Simpplr or custom domain)

  • Set up and test integrations

  • Schedule your upgrade date and cutover call

Your Upgrade Portal

The Upgrade Portal will serve as your central hub for tasks and resources throughout the project.

đź’ˇ Best Practice: Schedule Internal Work Sessions đź’ˇ

Set up 30-minute to 1-hour internal meetings with your team to work through Upgrade Portal tasks together. This collaborative approach helps ensure nothing is missed and keeps everyone aligned throughout the process.

What We Need From You

To ensure a successful and on-time upgrade, we'll need your support across three key resource areas: business, technical, and end-user readiness.

2. Cutover Day: The Upgrade in Action

Your upgrade will take place on a pre-scheduled date with your Simpplr team. This day is highly orchestrated, and our goal is to make the experience smooth and disruption-free.

Cutover Timeline:

Evening Before (~12 hours) - Read-Only Mode Begins*

  • Simpplr Classic placed in Read-Only Mode

  • Users can log in and view content

  • Create, edit, and delete actions disabled

  • Add-ons temporarily unavailable

  • *not available for shared instance intranets

Hours 1-12 - Data Migration & QA

  • Data securely moved to Simpplr One

  • Scheduled jobs paused

  • Multiple QA checks performed

  • Contingency planning in place

~2 Hours - Cutover Call - Go Live

  • Confirm upgrade success

  • Set up and test integrations (SSO, provisioning)

  • Verify login and access

  • Final checklist walkthrough

Contingency Planning

In the rare event of a critical issue, we may decide to delay the cutover and revert to Simpplr Classic. We will inform you immediately and work with you to reschedule.

Moving Forward with Minor Issues

If only minor non-blocking issues are identified (e.g., cosmetic bugs or delayed syncs), we will move forward and resolve them within 24–48 hours post-cutover.

3. Post-Upgrade: Enabling Success

Once live, your users will interact with Simpplr One seamlessly. Here's what to keep in mind:

Web Access

  • New URL: Users will access Simpplr One using your updated domain

  • Credentials: Login credentials remain the same (SSO or username/password)

  • Link Redirects: For 14 days post-upgrade, links to Simpplr Classic will automatically redirect to Simpplr One

  • Redirect Message: Users clicking on old links will see a helpful message encouraging them to update saved links

Mobile Access

  • Same App, Better Experience: The Simpplr mobile app remains the same for Android and iOS users

  • Version Requirements: Users need to make sure they have the latest application version

  • Auto Transition: Users already logged in on the latest version will see a restart message and automatically transition to Simpplr One—no re-login needed

What Happens to Simpplr Classic?

14-Day Transition Period

Simpplr Classic will remain accessible in a read-only state for up to 14 days post-upgrade. Only selected users (e.g., Admins or content reviewers) will retain access to Simpplr Classic. Basic users will redirect from Simpplr Classic to Simpplr One during this time.

After 14 Days

Simpplr Classic will be fully sunset, but we'll send reminder emails out to make sure you are aware of this.

đź”’ Your Data is Protected During Upgrade

We prioritize the security of your data throughout the upgrade process. Your existing Salesforce backend data tied to your organization's instance will remain completely untouched during the migration to Simpplr One.

After your upgrade, any applicable backend Salesforce data will be placed in a "Locked" status for 14 days as a protective measure. This means the data remains secure and intact, but is temporarily restricted from modification.

To understand what "Locked" status means and how it protects your data, see Salesforce's explanation:
