How to archive newsletters

Overview

Archiving lets you remove outdated newsletters from the active listing without permanently deleting them or losing their analytics data. This article explains how to archive, view, and un-archive newsletters for both managers and end users.

Before you begin

  • You must be an App manager or Newsletter manager.

  • Archiving is available for sent newsletters only drafts cannot be archived.

Part 1: Archive a newsletter (manager)

Step 1 – Go to the newsletter listing page

  1. Go to your User menu and select Newsletter.

  2. You will see the full list of sent and draft newsletters.

Step 2 – Archive the newsletter

  1. Locate the newsletter you want to archive.

  2. Click the ellipsis (...) next to the newsletter.

  3. Select Archive from the dropdown menu.

The newsletter is now archived. It will be removed from the active newsletter listing and from recipients' newsletter pages.

Important: newsletters that have already been distributed cannot be recalled. Archiving removes them from the listing but does not unsend them.

Part 3: View archived newsletters

  1. On the newsletter listing page, click Filters.

  2. Select View archived newsletters.

  3. All archived newsletters are displayed.

Part 4: Un-archive a newsletter

  1. Follow the steps above to view archived newsletters.

  2. Locate the newsletter you want to restore.

  3. Click the ellipsis (...) and select Un-archive.

The newsletter returns to the active listing page and becomes visible to users as if it was never archived.

Things to keep in mind

  • Analytics: archived newsletter metrics are excluded from the Activity Dashboard but included in Category analytics.

  • Mobile: newsletter managers can also view and un-archive newsletters from the Simpplr mobile app.

Frequently asked questions

Q: Can I archive a newsletter that's still in draft status?

Ans: No. Archiving is only available for newsletters that have already been sent; drafts cannot be archived.

Q: Does archiving a newsletter delete it permanently?

Ans: No. Archiving only removes it from the active listing and recipients' newsletter pages. The newsletter and its analytics data are preserved, and it remains accessible via direct link.
