How to use newsletter categories & category analytics

Updated 4 days ago

Overview

Categories let you group newsletters by programme, team, or topic. Once assigned, each category has its own analytics view making it easy to compare performance across different newsletter types over time.

Before you begin

  • You must have newsletter manager permissions or be an App manager.

  • Categories are created on the fly when setting up a newsletter no separate setup is required.

Part 1: Assign a category to a newsletter

Step 1 – Start or open a newsletter

  1. Go to your User menu and select Newsletter.

  2. Click New to create a new newsletter, or open an existing draft.

Step 2 – Proceed to the Details step

  1. Once you have finished editing the newsletter content, click Next.

  2. You will land on the Details page.

Step 3 – Select or create a category

  1. Locate the Category field on the Details page.

  2. Click the dropdown to see existing categories, or type a new category name to create one.

  3. Select or confirm your category.

⚠️ Important: once a newsletter is assigned a category and sent, its category cannot be changed. Make sure you assign the correct category before sending.

Step 4 – Complete and send the newsletter

Continue through the remaining steps (recipients, distribution, confirm & send) as normal. The category will be saved with the newsletter.

Part 2: View all categories

  1. Go to your User menu and select Newsletter.

  2. From the newsletter listing page, click the Categories tab.

  3. A list of all newsletter categories is displayed, along with summary information.

Part 3: View category analytics

  1. From the Categories tab, click on any category name.

  2. The category analytics view opens, showing aggregated performance data for all newsletters assigned to that category.

Use category analytics to:

  • Compare open rates and CTR across different newsletter programmes.

  • Identify which categories consistently drive the highest engagement.

  • Make data-driven decisions about which types of content to invest in.

Things to keep in mind

  • Archived newsletters are excluded from the Activity Dashboard but their metrics are included in Category analytics.

  • Categories cannot be reassigned after a newsletter is sent. Plan your category taxonomy before you start sending at scale.

  • All newsletter users can see categories and templates by default — category visibility is not restricted by permissions.

Frequently asked questions

Q: Do I need to set up categories before I can use them?

Ans: No. Categories are created on the fly while setting up a newsletter — you can type a new category name directly on the Details page, and no separate setup is required.

Q: Can I change a newsletter's category after it's been sent?

Ans: No. Once a newsletter is assigned a category and sent, that category cannot be changed, so it's important to assign the correct one beforehand.

Q: Where do I go to see all my newsletter categories at once?

Ans: Go to your User menu, select Newsletter, then click the Categories tab from the newsletter listing page.

Q: Do archived newsletters still count in category analytics?

Ans: Yes. While archived newsletters are excluded from the Activity Dashboard, their metrics are still included in Category analytics.

Q: Can everyone see all newsletter categories, or is visibility restricted?

Ans: All newsletter users can see categories and templates by default. Category visibility is not restricted by permissions.

Q: What can I use category analytics for?

Ans: Category analytics let you compare open rates and CTR across different newsletter programmes, identify which categories drive the most engagement, and make data-driven decisions about future content.

Q: Is there a recommended way to name my categories?

Ans: Yes. It helps to use clear, consistent names based on the type of content, such as "Weekly Digest" for company-wide updates, "HR Updates" for HR announcements, or "From the CEO" for leadership messages.

Q: What happens if I don't plan my category naming in advance?

Ans: Since categories can't be reassigned after a newsletter is sent, inconsistent or unplanned naming can make it harder to compare performance accurately later. It's best to plan your category taxonomy before sending at scale.
