Mobile quick tasks: mark as Incomplete and Reopen completed tasks

Overview

The enhanced Quick tasks lifecycle is now available in the native mobile app. You can explicitly mark tasks as Incomplete when work cannot be finished, and you can Reopen previously completed tasks to continue work without creating duplicates. These capabilities improve visibility, tracking, and accountability across teams.

This applies to task managers, task creators, assignees, and app managers using the native mobile app.

Permissions: These actions are available to the assignee, the task creator, and admins.

Optional reason: When marking a task Incomplete or reopening it, you may be prompted to add a brief reason. This improves context and reporting.

Mark a task as Incomplete

What "Incomplete" means

Use Incomplete when work could not be finished, for example because of a blocking dependency, an expired prerequisite, or because a shift ended. When configured at task creation, this status also prevents users from marking the task as completed after the due date. Incomplete tasks appear distinctly in task lists, filters, and analytics.

How to mark Incomplete on mobile

  1. Open the task from the task list or via a notification.

  2. Tap the overflow menu or status action.

  3. Select Mark as incomplete.

  4. Enter a reason if prompted, then confirm.

Overdue vs. Incomplete

An overdue task is still actionable. Incomplete explicitly ends the current attempt until someone resumes it. Choose Incomplete when the task cannot proceed without intervention.

Configure "Mark as Incomplete after due date" during creation

When creating a task on mobile, select Mark as incomplete after due date to automatically move tasks to Incomplete if they are not completed by the due date. This makes it clear that the task should not be completed after the deadline has passed.

Reopen a completed task

When to use Reopen

Reopen a completed task when corrections are needed, such as missing evidence or updated instructions, or when follow-up work arises but creating a new task would fragment the history.

How to reopen on mobile

  1. Open the completed task from the Completed list or via search.

  2. Tap Reopen.

  3. Add a reason if prompted, then confirm.

The task returns to In Progress. Notifications are sent to relevant users, the task appears in active lists and analytics again, and the audit log records who reopened it and when.

Recurring tasks

  • Instance-level control: You can mark or reopen individual occurrences without affecting the entire series.

  • Series behaviour: Reopen and Incomplete actions are scoped to the selected occurrence unless you explicitly manage the series in the task options.

  • Counts and filters: Incomplete and reopened instances are reflected in list counts and filters for accurate operational tracking.

Finding and managing these tasks on mobile

Task list and detail view

  • Row actions for Mark as Incomplete and Reopen are available directly from the list

  • Status badges display Incomplete or In Progress after a transition

  • The detail view shows the last status change with timestamp and actor

Search and filters

  • Search results include Incomplete and reopened tasks

  • Use the Incomplete filter to quickly focus on blocked or missed tasks

Notifications

Troubleshooting

The Mark as Incomplete or Reopen action is not visible on a task

  • What happened: These actions are limited to the assignee, the task creator, and admins. Some actions may also be hidden for archived or locked tasks.

  • What to do: Confirm you are the assignee, task creator, or an admin. If your role is correct, pull to refresh the task list and try again. If the task is archived or locked, the actions are intentionally unavailable.

A task was automatically marked as Incomplete after the due date

  • What happened: The task was created with Mark as incomplete after due date enabled. When the due date passed without completion, the system moved the task to Incomplete automatically.

  • What to do: Tap Resume or change the status to move the task back to In Progress. If the original due date strategy no longer applies, confirm the configuration on the task or create a follow-up task with a revised due date.

Tapping an in-app notification does not open the task detail screen

  • What happened: Notification navigation may not be working as expected, often because the mobile app is on an older version.

  • What to do: Update the mobile app to the latest version and ensure notification permissions are enabled on your device. If the issue persists, open the task directly from search or the task list, and report the problem to your administrator.

Notifications for status changes are not arriving

  • What happened: Mobile notification permissions may be disabled, or the app may not be on the latest version that supports these notifications.

  • What to do: Update the mobile app to the latest version and confirm that notification permissions are enabled in your device settings. If notifications still do not arrive, contact your administrator.

A status change on a recurring task affected more than one occurrence unexpectedly

  • What happened: By default, actions apply only to the selected occurrence. If a series-level change was made through task options, it would have applied across occurrences.

  • What to do: Open the task and verify whether the action was applied at the occurrence level or the series level. For future changes, confirm you are updating the correct occurrence before changing status. Series-level changes require explicit selection in task options.
