How to manage newsletters

Overview

Newsletter management in Simpplr covers everything from controlling who can create and send newsletters, to organising your newsletter listing, to deleting drafts safely. This article walks App managers and Newsletter managers through the key management tasks.

Before you begin

  • You must be an App manager or have been granted Newsletter manager permissions.

  • Access the newsletter management area by going to your User menu > Newsletter.

Step 1 – Grant newsletter permissions to users

  1. Go to Manage > Application > Privileges.

  2. Under Newsletters, enter the name(s) of users you want to grant newsletter control to under Grant newsletter control to people. These users can create and send newsletters to the entire organisation or any site.

  3. To allow site owners/managers to send newsletters to their site members, enter the site name under Grant newsletter control to site owners/managers.

  4. Click Save.

Note: newsletter themes, templates, and categories are visible to all users by default and are not restricted by permissions.

Step 2 – Understand draft access rules

  • Drafts with no recipients defined are accessible to all newsletter users, including site owners/managers.

  • Drafts set to All org or Audience are only accessible to App managers and those granted newsletter control by name.

  • Site owners/managers can only see drafts where recipients are members of a site they manage.

Step 3 – Delete a draft newsletter safely

Deleting a draft newsletter requires confirmation to prevent accidental loss.

  1. Locate the draft newsletter on the newsletter listing page.

  2. Click the ellipsis (...) next to the newsletter and select Delete.

  3. A warning message will appear asking you to confirm the deletion.

  4. Confirm the action. A toast notification will confirm the draft has been deleted.

Step 4 – Use the sender filter on the newsletter listing page

When multiple teams or leaders send newsletters from different email addresses, the sender filter helps you quickly locate the right newsletters.

  1. Go to the Newsletter listing page.

  2. Click the Sender Filter dropdown.

  3. Select the desired "From" address.

  4. The list updates to show only newsletters sent from that address.

Step 5 – Restrict "From" address access (ABAC environments)

App managers can control which users are allowed to send newsletters from specific email addresses.

  1. Go to Manage application > Setup > Newsletter > Sender address.

  2. For each sender address, assign the specific users who are permitted to use it.

  3. Users not assigned to an address will not see it as an option when sending newsletters.

Note: this feature is available only in ABAC-enabled environments.

Frequently asked questions

Q: Who can grant newsletter permissions to other users?

Ans: Only App managers can grant newsletter control to users or site owners/managers, via Manage > Application > Privileges.

Q: Can site owners send newsletters to the entire organisation?

Ans: No. Site owners/managers granted newsletter control can only send to members of the sites they manage, unless they've also been explicitly granted broader newsletter control by name.

Q: Are newsletter themes and templates restricted by permissions?

Ans: No. Themes, templates, and categories are visible to all newsletter users by default and aren't restricted by permissions.

Q: Can I see every draft newsletter in the system?

Ans: It depends on your access. Drafts with no recipients defined are visible to all newsletter users, but drafts set to All org or Audience are only accessible to App managers and users granted newsletter control by name. Site owners/managers can only see drafts for sites they manage.

Q: Can I delete a draft newsletter by accident?

Ans: It's unlikely. From the 25.09 release, deleting a draft requires you to confirm the action via a warning prompt before it's permanently removed.

Q: What's the sender filter used for?

Ans: It helps you quickly locate newsletters sent from a specific "From" address, which is especially useful when multiple teams or leaders send newsletters from different addresses.

Q: Can I restrict who is allowed to send from a specific sender address?

Ans: Yes, but only in ABAC-enabled environments. App managers can assign specific users to each sender address via Manage application > Setup > Newsletter > Sender address, and unassigned users won't see that address as an option.

Q: What happens if a user isn't assigned to any sender address?

Ans: In ABAC-enabled environments, that user simply won't see the restricted sender address as an option when sending a newsletter.
