Create and manage Alerts

Updated 2 months ago

With the right permissions, you can create an alert to make a quick announcement that show up at the top of Simpplr for everyone to see.

To access Alerts, head to Manage features > Alerts.

  1. Choose the target audience to send your alert to.

  • If you want the link become clickable, check the Make alert message a link, then enter a url.

  • Optionally, you can chose to translate the alert for your audiences who have different profile languages. Translations can be automatic, powered by Google Translate, or manual if you know what text needs to be put in. image (2).png

  • Select User can dismiss alert if you allow users click on the x to dismiss the alerts. If you don’t allow users to dismiss the alert, select Users cannot dismiss alert.

  • You can schedule the alert to display in the future by checking the Schedule date and time option.

  • If you want to display the alert right away, select Immediately.

  • Finally, choose the duration of the alert.aws alerts 2.png

External distribution

Users who have the Microsoft Teams integration enabled can send the alert directly to Teams as an instant message. Here you'll have the option to send the alert to recipients directly, as well as post in a Teams channel you have access to.

The alert will display in Teams, and will contain a link leading back to Simpplr.

Create alert messages using suggestions

Alert message suggestions help authors quickly create clear and concise alert messages without starting from scratch. From the Create or Edit Alert screen, users can generate multiple AI-powered options, select one, and refine it before publishing. The feature is optional and does not change the existing workflow.

Where this appears

Available on the Create alert and Edit alert screens.
An icon is shown next to the Alert message field to access suggestions.

How it works

  • Generate suggestions: click the icon next to the Alert message field to open the panel. Enter a short draft or guidance text, then click Generate. The system returns 2–3 message options based on your input and selected language.

  • Review and select: each suggestion is ready to use and follows the alert constraints.

    • Select a suggestion to insert it into the alert

    • Generate again to see more options

    • Close the panel to keep your current message

Selecting a suggestion replaces the existing message and closes the panel.

  • Regenerate and compare: you can generate multiple sets of suggestions to explore variations.

    • Each generation creates a new version

    • You can move between previous and next versions

    • Regeneration is limited after a certain number of attempts

If you edit a selected message manually, earlier versions are cleared.

Modify existing message

Instead of generating new content, you can rewrite the current message. The system uses the existing text as input and improves clarity, tone, or brevity.

Character limit and language

Alert messages are limited to 150 characters, and suggestions are generated to fit within this limit. In some cases, suggestions may slightly exceed it—regenerating usually fixes this, or you can trim the text manually. All suggestions match the selected alert language.

Unsaved changes

If you generate or edit a message but don’t save it, closing the panel or navigating away may trigger a confirmation prompt.

  • Stay → keeps your draft

  • Leave → discards changes

No prompt appears if nothing has changed.

Performance and behavior

Suggestions are typically generated within a few seconds. If they fail to load, you can retry or continue writing manually. The feature does not block alert creation or publishing.

Limitations

  • 150-character message limit

  • Limited number of regenerations

  • Suggestions may require manual refinement

Troubleshooting

If suggestions are not available, the feature may not be enabled for your environment. Contact your administrator to confirm availability.
