Comms Agent used to work at the campaign level. If you wanted a single piece of communication planned out, you had to build a campaign around it or create the activity by hand.
Comms Agent now creates single activities. Describe what you want in your own words, answer a few questions, review the draft, and approve it into your Comms Planner. The activity can stand on its own or sit under an existing campaign.
Comms Agent also sends a reminder before an activity's end date, so deadlines do not arrive unannounced.
Comms Agent creates two kinds of activity:
A standalone activity. It has its own start date, end date, goal, priority, and content type, and does not belong to a campaign.
An activity within a campaign. The same details, attached to an existing campaign so the activity aligns with that campaign's direction.
Each conversation produces one activity. For a multi-activity plan, create a campaign instead.
There are three ways in, and they differ in how much they set up for you.
Starting point | What it does |
|---|---|
Comms Agent under Manage > Comms AI | Choose Campaign or Activity from the dropdown |
Add activity using agent on the Planner | Opens Comms Agent with Activity already selected |
Add activity using agent inside a campaign | Opens Comms Agent with Activity selected and that campaign already attached |
Starting from inside a campaign is the quickest route when you already know which campaign the activity belongs to. It skips the campaign selection step entirely.
Open Comms Agent from any of the three starting points above.
If you did not start from the Planner or a campaign, select Activity in the chat mode dropdown.
Describe what you want. For example, "Create a single activity for Employee Wellbeing Week starting next Monday."
Answer the agent's questions. It asks for a start date, an end date, and the goal of the activity, and whether the activity should stand alone or belong to an existing campaign.
Review the draft on the canvas. Comms Agent fills in a title, description, priority, and content type.
Ask for changes if anything is off. You can keep refining before you commit to it.
Select Approve. The activity is saved to your Comms Planner.
Nothing is saved until you approve, so there is no cost to trying a prompt and rejecting the result.
When you tell Comms Agent the activity belongs to a campaign, it suggests campaigns that match what you described and shows them for you to choose from. Once you pick one, the agent uses that campaign's context so the activity fits the campaign's direction rather than reading as a standalone piece.
If you started from inside a campaign, that campaign is already attached and you skip this step.
A reminder goes out 24 hours before an activity's end date, arriving at 09:00 in the recipient's local time. It comes as both an email and an in-app notification.
Who receives it depends on whether the activity has an owner:
Activity | Reminder goes to |
|---|---|
Assigned | The assigned owner |
Unassigned | The person who created the activity |
The reminder gives you a day to finish the content or move the end date rather than discovering the deadline after it has passed.
If you change an activity's end date, the reminder moves with it. You will not receive a reminder based on the old date.
Email reminders follow your notification settings. If you have turned Comms AI email notifications off, no reminder email is sent.
Turning off email notifications does not stop the in-app notification.
One activity per conversation. Comms Agent creates a single activity each time. Use a campaign for a multi-activity plan.
Pick a workspace first. Add activity using agent is unavailable in the All Workspaces view. Select a specific workspace before launching Comms Agent.
Approval is required. Drafts are not saved to the Planner until you approve them.
What happened: You are in the All Workspaces view. Comms Agent needs to know which workspace the activity belongs to.
What to do: Select a specific workspace, then start Comms Agent.
What happened: Comms AI email notifications are most likely turned off in your notification settings.
What to do: Check your notification settings. The in-app notification is sent regardless of the email setting, so check there too.
What happened: The activity has no assigned owner, so the reminder went to whoever created it.
What to do: Assign an owner to the activity. Future reminders go to the owner.
What happened: Each Comms Agent conversation produces one activity.
What to do: Create a campaign instead. Campaigns cover multi-activity plans.
What happened: The activity was created as standalone, or a different campaign was selected during the conversation.
What to do: Start from the campaign itself using Add activity using agent, which attaches that campaign automatically.
What happened: The draft was not approved. Activities save to the Planner only after approval.
What to do: Return to the conversation, review the draft on the canvas, and select Approve.
Can I create several activities in one conversation? No. Comms Agent creates one activity per conversation. Create a campaign for a series of activities.
Who gets the reminder if nobody is assigned to the activity? The person who created the activity.
Why did I not get an email reminder? Check whether Comms AI email notifications are turned off in your notification settings. Email reminders are suppressed when they are off.
Can I start Comms Agent from inside a campaign? Yes. Add activity using agent inside a campaign attaches that campaign automatically, so you skip the campaign selection step.
Does an activity have to belong to a campaign? No. Activities can stand alone with their own dates, goal, priority, and content type.
What happens to the reminder if I change the end date? It moves to match the new date.
Is anything saved before I approve? No. The draft stays in the conversation until you approve it into the Planner.
