Understanding how intranet links are handled as you upgrade to Simpplr One
As your organization upgrades from Simpplr Classic to Simpplr One, all your intranet URLs will change. This guide explains which links are automatically handled by Simpplr and which require your attention - plus the tools Simpplr provides to make the transition easier.
What they are:
URLs that connect content within your Simpplr intranet, such as:
A page that links to another page
Links to files stored in your intranet
Navigation between site sections
How Simpplr supports this:
All internal links are automatically updated during your upgrade. If Page X links to Page Y, that connection will work correctly in Simpplr One with zero action from your team.

What they are:
Any URLs outside your intranet that point to Simpplr content, including:
Bookmarked Simpplr URLs in web browsers
Links in PowerPoint, PDFs, Excel, or Word documents
Links shared in emails or chat tools
Documentation or training materials
Why they matter:
Simpplr doesn't have access to your external systems or files, so these links can't be automatically updated. However, we provide tools that can help you identify them efficiently.

Identification Tool
What it does:
Shows you which users are accessing Simpplr Classic URLs, so you can work with them to identify where those outdated links are being used and create a plan to update them.
Why it helps:
Identifies a list of Simpplr Classic URLs that users are attempting to access after the upgrade
Helps you prioritize which links need immediate attention
Identify users who may benefit from additional guidance
How to use it:
Run this report after your upgrade at different intervals - Day 3, Day 7, Day 10, etc. See detailed instructions below on running it manually or use the report generator supplied during the cutover call. Example document attached at bottom of article.
Identification Tool
What it does:
Shows you a list of your files that contain Simpplr Classic URL links, helping you understand the scope of files that have external links that need updating.
Why it helps:
Identifies files with embedded Simpplr Classic URLs
Prevents broken links after the 14-day redirect period ends
Provides view of intranet-hosted files
Helps maintain document integrity
How it works:
Your PM will run and give this report to you during the cutover call. If you would like the report early, you can request it from your PM.

User Setup Tool
What it does:
Configure this lightweight browser extension that works automatically in the background-redirecting Simpplr Classic links to Simpplr One.
Why it helps:
Continues to work when Simpplr Classic is sunset
Secure, silent, and non-intrusive operation
Works independently in the background once configured
Automatically handles redirects without having your intranet open
How to use it:
Your PM can setup the Browser Extension Manager tile on your homepage during your cutover call. Users would then click the configure button in the tile to install the extension within their browser (Chrome or Edge). Once configured, the extension securely stores it settings in the browser, enabling fast, reliable redirects. To learn more see document at bottom of knowledge base.

Grace Period
What it does:
When users click on an old Simpplr Classic link, the system displays a redirect notification alerting them that they're using an outdated URL and will need to update to the new Simpplr One URL. The redirect then takes them to the correct content.
Why it helps:
Prevents broken links during the transition
Educates users about the URL change
Gives your team time to update external links
Users can still access bookmarked content
How it works:
This activates automatically at upgrade. You have 14 days to identify and update external links before redirects expire unless you have the Redirect Browser Extension installed.
Self-Service Tool
What it does:
Allows users to paste an old Simpplr Classic URL and instantly receive the updated Simpplr One URL.
Why it helps:
Empowers users to fix their own bookmarks
Reduces support tickets to App Managers
Works in real-time without waiting

Simpplr can help set this up during your cutover call, or your team can configure it using our provided instructions.

Follow these steps to identify external links still being used in the legacy Simpplr Classic instance:
Step 1: Navigate to Reports and Create New
In your Salesforce instance, go to the Reports tab and click New Report...
Step 2: Select Report Type
Click the plus sign next to Other Reports > Simpplr Social Analytics with People, or type "Simpplr Social Analytics" in the search to locate the report type.
Step 3: Add Required Fields
Drag and drop these fields from the left-hand side into your report:
Metadata
PageURL
Simpplr Social Analytics: Created Date
Email Addresses
Simpplr Social Analytics: Created By
Step 4: Run the Report
Click Run Report at the top of the page to generate your results.
Review the PageURL column to see all Simpplr Classic URLs being used to access your content
Identify content owners using the "Created By" field
Prioritize updates based on how critical the linked content is
Deploy the URL Conversion Tile so content owners can update their own links
Monitor over the 14-day redirect window to track which links still need attention
No action needed for newsletter links.
If you use the Newsletter add-on, Simpplr automatically updates all intranet links in your newsletters through deep-link technology. Your previously sent newsletters will continue working after the upgrade without any manual updates.
